When the spreadsheet becomes another job.

A spreadsheet can be a useful list. The trouble starts when it is expected to explain every handoff, decision, and missing document, too.

The problem is often the work around the spreadsheet.

Someone updates the roster. Someone else has the latest medical document. Testing information arrives in another inbox. The spreadsheet becomes a place to copy answers after those conversations happen.

That can work while one person remembers the full story. It becomes harder when a colleague covers the desk, a replacement document arrives, or the company adds another group of drivers.

  • The same question gets answered in several places.
  • “Done” means different things to different people.
  • Dates get copied without a link to the supporting record.
  • A missing item has a note but no clear next owner.

These are workflow problems worth examining. They do not mean every spreadsheet has to disappear.

Choose one handoff to make clearer.

Start with a repeated situation. For example, a driver sends a replacement license. What happens next? Who sees it? Where is the receipt? Who checks the details? How does another colleague know the record was updated?

Write that path down in plain language. Separate the arrival of the file from the review and the saved change. Identify the point where your team currently has to send another email just to understand the status.

A useful starting question

“Could someone who was not in the email chain tell us what happened and what needs to happen next?”

Bring what you have and build a reviewed baseline.
